Privacy Policy

TorqueHQ ("we", "us") is operated by AutoVibe and provides invoicing, reminder and booking software to vehicle workshops in New Zealand and Australia. This policy explains what data we collect, why, and how it's protected.

What we collect

• Workshop account data: your business name, address, phone, email, GST/ABN number and bank details, used to populate invoices you issue.
• Your customers' data: names, phone numbers, emails and addresses that you (the workshop) enter to create invoices and bookings.
• Vehicle data: registration plates, VINs, make/model/year and WOF/service due dates, entered by you or looked up via CarJam (see below).
• Authentication data: handled by our auth provider, Clerk, who store your login email and session details on our behalf.
• Usage data: basic operational logs (e.g. request timestamps) kept for security and debugging.

Sub-processors we use

• Cloudflare — hosting, database and file storage (Workers, D1, R2), all requests served over HTTPS.
• Clerk — user authentication and session management.
• CarJam — vehicle registration/WOF lookups by plate or VIN, queried only when you look up a vehicle.
• Resend — transactional email delivery (e.g. emailing invoices to your customers).
• TransmitSMS — SMS delivery for WOF/service reminders sent to your customers.
• Google — if you connect Google Calendar, booking times sync to your own calendar via OAuth.
• Xero — if you connect Xero, invoice data is pushed to your own Xero organisation as draft invoices via OAuth.

None of these providers are permitted to use your data for their own purposes beyond providing the service to us.

How your data is isolated

TorqueHQ is multi-tenant software: every workshop's customers, vehicles and invoices are strictly scoped to that workshop's account. No workshop can ever see another workshop's records. Vehicle registry facts looked up via CarJam (make, model, WOF status) are cached and may be reused across workshops to reduce lookup costs, but customer-identifying records (names, invoices, bookings) are never shared.

Data retention

We retain account and invoice data for as long as your workshop account is active, plus a reasonable period afterwards for accounting and legal purposes. You can request deletion of your workshop's data by emailing us.

Your rights

Under the NZ Privacy Act 2020 (and Australian Privacy Principles where applicable), you can request access to, correction of, or deletion of personal data we hold about you. Contact info@autovibe.co.nz for any such request.

Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected on this page with an updated date.
